Human Resource Coordinator

The HR Coordinator will primarily support the payroll function and the hiring activities within the Art Institutes system of schools. This position will work with designated campus leaders and PEO provider to ensure timely completion of the bi-weekly payroll process. In addition, this position will work with designated campus leaders to track all new hire activity (i.e. new employee onboarding, background checks, offer letters, I-9 documentation). The HR Coordinator will communicate directly with candidates to ensure all aspects of the hiring process are completed in a timely manner.

Key Job Elements:

1. Ensures the timely and accurate submission of employee pay information to the PEO in support of the bi-weekly payroll process. Input and tracking of all approved pay types for Adjunct Faculty into Time and Attendance system. Create and distribute reports to campus leadership for review of employee hours worked, makes edits/changes as advised or needed to ensure accuracy. Oversees approval of all employee timecards on a bi-weekly basis, ensuring all hours are correct for the pay period. Communicates with PEO to resolve all employee pay issues.

2. Facilitates recruiting of positions within the Aii system. Responsible for creating and posting requisitions within recruiting platform. Based upon position criteria from hiring manager, complete initial review of all resumes to ensure minimal qualifications are met. Update candidate status assignment within hiring system, share potential candidates with hiring managers. At request of hiring manager, complete phone screens on selected candidates, collect employment application and share interview assessment with hiring manager. Draft and send electronic offer letters based upon approved compensation and start date. Handle reference checks as requested. Ensure timely completion of all new hire paperwork, submission of onboarding information into WorkSight platform, background check and completion of I9 and E-Verify process. 

3. Maintaining records of personnel-related data in the WorkSight platform for all employees and ensure all employment requirements are met.

4. Other duties as assigned

Interacts With: Presidents, Deans of Academic Affairs, Department Chairs, faculty and staff

Job Requirements (Knowledge, Skills and Abilities):


a) Bachelor's degree in human resources required, PHR certification preferred

b) Two or more years’ experience in human resources, preferably in a human resources coordinator / generalist role.

c) Experience with applicant tracking systems, I9 documentation and E-verify.

d) Prior experience supporting hiring managers and employees in a remote business environment highly preferred.

c) Strong basic computer software (MS Office) skills.

d) Experience servicing customers/clients in a virtual environment.
